Where to start
Work through it in this order. Most of the initial work is done in an afternoon, and the high-risk documents only apply if your screening points you there.
Confirm scope and role: Document 01, Section 1
Before anything else, check whether the Act applies to you and whether you are a deployer or, for any tool you built yourself, a provider. This changes which duties you carry, so it is worth the ten minutes.
Build your inventory in the Excel workbook
Use Document 02 to screen each tool with the four questions. Include AI features embedded inside other software, which is where most businesses find tools they had forgotten about.
Check nothing you use is prohibited
Run your inventory against the nine practices in Document 13, then have a director sign it. Pay particular attention to any tool that analyses sentiment in call centres, interviews or productivity monitoring.
Brief your staff and record it
Distribute Document 04 or use it for a short team briefing, then record completion in Document 05. The Act does not set a frequency, so you decide what suits your roles and tools.
Put the right notices in the right places
Use Document 06 to match each situation to the correct notice version. Check which are legally required and which are voluntary before you add them, since unnecessary notices can dilute the required ones.
Only if screening flagged a high-risk use
Documents 08 to 12 are for recruitment, credit scoring, education and similar Annex III uses. Those duties apply from 2 December 2027, but start the vendor requests now because responses take months.
Sign off and diary the review
Complete the management review in Document 14, then put the annual review from Document 15 in the calendar along with the key dates.

Free updates for twelve months
The law was verified on 11 September 2026. Commission guidelines and national enforcement practice continue to develop, and further dates fall in December 2026, December 2027 and August 2028. You will receive updated documents by email for twelve months at no extra cost. Add our support address to your contacts so updates do not land in spam.
